This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or use our services, in accordance with the UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (PDPL).

  • Phone Number
  • Appointment Details (date, time, clinic, and notes)

When using our services, we may also process patient-related information provided by clinics, such as contact details, appointment history, and AI call recordings or transcriptions (where applicable). Such information may constitute health or sensitive personal data under the PDPL.

We also automatically collect certain information through cookies and analytics tools, including:

  • IP address
  • Pages visited and actions taken on our website
  • Device and browser information

2. How We Use Your Information

We use your information to:

  • Provide, operate, and improve our services
  • Enable clinic scheduling, communication, and AI-assisted calling
  • Communicate with you, including sending service updates and marketing emails
  • Analyze website and platform usage to enhance performance
  • Comply with applicable legal and data protection obligations

3. AI Use and Automated Processing

DocDial uses artificial intelligence (AI) technology to assist with call handling, scheduling, and communication on behalf of clinics. Our AI systems may process limited information such as patient names, phone numbers, and appointment details to deliver these functions.

We do not use AI to make autonomous decisions that produce legal or significant effects on individuals. Human oversight is always maintained, and AI outputs are reviewed or controlled by authorized personnel.

4. Sharing Your Information

We may share your information with trusted third-party partners who help us operate our business and deliver our services, including:

  • Supabase (data storage and backend services)
  • Google Analytics (website analytics)
  • Meta (Facebook) Pixel (marketing and advertising)
  • LinkedIn Insight Tag (marketing and analytics)
  • Framer Analytics (website performance tracking)

All processors are contractually bound to maintain confidentiality and apply adequate security measures under the PDPL. We do not sell, rent, or trade your personal information.

5. Cookies and Tracking Technologies

We use cookies, pixels, and similar technologies to collect information about your browsing activities. You can manage your cookie preferences through your browser settings.

6. Data Security

We implement appropriate technical and organizational measures to protect your information from unauthorized access, loss, misuse, or disclosure. All data are stored securely on Supabase using encryption and industry-standard security protocols.

7. Data Retention

We retain personal data only for as long as necessary to fulfill the purposes described in this Policy, or as required by law. In general:

  • Clinic and patient records are retained for up to 12 months after account termination, unless a longer period is legally required or requested by the clinic.
  • AI call recordings or transcripts are kept for up to 90 days unless explicitly deleted earlier by the clinic.
  • Analytics and cookie data are retained in accordance with third-party provider policies.

After the retention period expires, data are securely deleted or anonymized in compliance with PDPL requirements.

8. Your Rights

Under the PDPL and other applicable laws, you may have the right to:

  • Access the personal data we hold about you
  • Request correction or deletion of your personal data
  • Withdraw consent for data processing
  • Request restriction or portability of your data, where applicable

Your data are securely stored on Supabase servers. Data may be processed or stored outside your country of residence, including in the United Arab Emirates. We ensure such transfers comply with the PDPL by applying appropriate safeguards and contractual protections.
